The procedure to draft a maternity leave letter:

The letter you draft should be more personalized stating clearly about your situation. The sooner you hand over your request letter from the actual date of leave required the better but then you need to know all about the company’s rules and regulations regarding maternity leave before you hand over the letter.

Drafting a maternity leave letter:

On the right hand corner you need to write the date, your name along with the address, contact number including the e-mail address. The contact number is essential in case the human resource department needs some information.

The rest of the letter should be written of the left hand side of the paper. Leave a few lines and start off the letter by addressing the supervisor or the head of the human resource department and send in one letter each to both will be a better idea and this should also include the name, designation and the working address of the supervisor or the head of the human resource department.

What goes into the actual letter?

End the letter with “Yours sincerely” and “Your name”.

You need not be specific about the date when you will resume your work but then you can state the month as you may have to extend your leave by a few days in case of emergency.

You also need to keep a couple of copies of the drafted letter with you for future use in case need arose wherein you need to produce the copy of the letter.
